Excel is a good companion for invoicing — automatic VAT calculations, line totals, table formatting. For B2B between VAT payers it has one fatal limit: it can't produce a structured UBL 2.1 XML, which Slovak Act No. 385/2025 Coll. requires from January 1, 2027. Three strengths, three weaknesses.

Excel handles VAT calculations, totals, and PDF export better than Word. For 2027, however, it can't produce UBL XML — and that's decisive under Slovak Act No. 385/2025 Coll.

    =SUM*0.23 — Excel calculates VAT automatically and updates totals when a line item changes. A practical saving for repeat invoicing.

  • Table layout for line items

    Items in rows, columns for quantity, unit price, VAT, and totals. Visually clean and easy to edit.

  • Export to PDF via the print dialog

    File → Export → PDF. Slovak diacritics are preserved if you use a modern Excel with Calibri / Arial.

  • No UBL 2.1 XML

    Excel isn't enough for B2B invoices from Jan 1, 2027. Without XML the invoice breaches Act 385/2025 — a penalty under § 154/§ 155 of the Slovak Tax Code (€100 – €10,000).

  • No QR PAY

    The Pay by Square QR code needs a specialised library (bysquare + qrcode). You simply can't produce it with an Excel macro — the client retypes payment details by hand.

  • Manual numbering and archiving

    Without automatic numbering you risk duplicates. Without automatic archiving, there's no guarantee that the tax office will trace a 9-year-old invoice in 9 years.

Can Excel produce UBL XML?

Out of the box, no. Excel only exports to its own formats (xlsx, xls, csv) and to PDF via print. UBL 2.1 XML with the EN 16931 schema needs a specialised tool — either invoicing software or our free generator. Third-party macros exist, but their validity in a tax audit is uncertain.
Excel and Slovak diacritics in PDF — does it work?

Yes, if you use a modern Excel (2016+) on Slovak Windows or macOS. When exporting to PDF, Excel uses system fonts that contain Slovak diacritics (Calibri, Arial, Times). The problem arises when exporting from Linux LibreOffice with some minimal font sets — diacritics occasionally drop out. Fix: replace the font with Calibri or DejaVu Sans.
Which invoice calculations can Excel do on its own?

Excel handles: item totals, VAT calculation via =SUM*0.23 (23%), automatic generation of the grand total. Limits: manual upkeep of the formula across different rates (one item 23%, another 19%, another 5%) — forget to update the formula and the taxable base is wrong. Our generator picks the rate per line via a dropdown — that error is impossible.
Excel macros for invoicing — are they safe?

Macros (VBA) can extend an Excel template, but they bring two problems: (1) security warnings in Outlook/Excel when the client opens the file; (2) a macro can't reach conformance with the EN 16931 UBL spec — it will only ever output text/HTML, not schema-valid XML. That's not enough for 2027.
